Records Clerk

POSITION SUMMARY

The Records Clerk is a civilian employee under the direct supervision of the Records and Telecommunications Coordinator.  As an employee of the police department, a Records Clerk is expected to perform in a courteous, professional manner in all dealings with the general public and departmental personnel.  Comply with the orders, policies, procedures, rules and regulations of the department.

GENERAL RESPONSIBILITIES

  1. Report for duty at the scheduled time and perform the activities of the Records Section at the direction of the Records and Telecommunications Coordinator.
  2. Maintain the security and confidentiality of all records and documents filed in the records Section.
  3. Prepare copies of reports for officers for upcoming court action.
  4. Prepare and transmit the required federal and state fingerprint identification information.
  5. Obtain copies of the Driver’s Abstract from the Illinois Secretary of State’s Office on all individuals charges with a traffic offence.
  6. Record court dispositions onto the appropriate forms following adjudication of a case by the court.
  7. Remove and dispose of the appropriate forms following adjudication of a case by the court.
  8. Maintain an inventory of division office supplies.
  9. Accurately file all division records and documents.
  10. Maintain the department files in an orderly fashion.
  11. Prepare and enter Illinois Crime Report data into CRIMES and/or CAD reporting systems.
  12. Respond to all requests for records checks or copies of case reports within departmental policies and procedures.
  13. Respond to recall to duty at any time notified.
  14. Attend regular training courses upon assignment of the Chief of police to increase skills and knowledge.
  15. Prepare contact cards on all individuals who were involved in any official police report whether arrested or not.
  16. Accumulate and record statistical data for periodic department use.
  17. Perform such other tasks as assigned.

QUALIFICATIONS

Requires calm, well-organized self-motivated, individual who can work well with the public and be an effective team member in a pressure situation. Excellent organizational skills.  Knowledge of office practices and procedures with experience in customer service.  Must possess accurate clerical and data entry skills. Must have experience with the business uses of PC’s.  High school diploma or equivalent.  Two years’ experience in a responsible clerical, customer service position.
